Up your Inventory Game

Guides, best practices, and documentation to help you get the most out of InventoryQuant.


Introduction

InventoryQuant (IQ) is an interactive web-application platform that can automatically transcribe and price an audio file or video, price an existing inventory spreadsheet list, and generate descriptions for images, exporting the results in a spreadsheet or PDF format.

IQ Terminology

  • Customer: The entity/person that is paying for the IQ service.
  • User: The individual that uses IQ and uploads files to be transcribed and/or priced.
  • Client: The person or persons that has an insurance claim and needs their contents to be inventoried.
  • Dashboard: The page where a user can create a new claim or review previously created claims.
  • Claim Workspace: The workspace where the user can upload or review an inventory, edit the claim details, download the inventory as a spreadsheet or PDF, and share the inventory with others.
  • Line Item: The specific inventory item (e.g. 1 book, 2 chairs, three hats, etc).
  • Category: The classification or type of item (Furniture, Clothing, Food, etc).

Step 1: Signing In

  • Click Sign In or Get Started on the landing page. If you don't have an account, click Create an account. A verification email will be sent—check your spam folder. Click the Verify Email Address button to complete registration.

Step 2: Creating a New Claim

  • After signing in, you'll land on the Dashboard. Click the New Claim button in the top right to create a new claim. You'll be taken to the Claim Workspace where you can upload your files.

Step 3: Uploading Files

  • In the Claim Workspace, click Upload Files or the upload prompt. Select your file type—Audio, Spreadsheet, Video, or Image—then drag, paste, or browse for files.

  • Click Upload Sources to begin processing. You'll receive an email when complete. Large files (1500+ items) can take up to 30 minutes.

Step 4: Working in the Claim Workspace

  • The Claim Workspace has four tabs:
  • Inventory: View, edit descriptions, quantities, and codes. Add comments and images. After pricing, replacement info and unit prices populate.
  • Pricing: View uploaded files and remove them if needed.
  • Comments: Add claim details including Loss Description (helps with pricing) and property address (used for tax calculation).
  • Images: Export in IQ Spreadsheet format, XactContents import template, or PDF Report.
  • Use Price Items to price all items. Use View Alternatives to see and select different pricing options for each item.

Output Spreadsheet

  • UNIT COST: Price per single item.
  • REPL COST: UNIT COST × QTY.
  • State Tax: State tax applied to REPL COST.
  • TOTAL: Final price after tax.
  • PRICE SOURCE: Clickable reference link.
  • Age / Condition: Left empty for user to fill in.

Managing Your Team

  • Teams allow a group of users under the same customer to collaborate. Team owners and managers can invite members and manage permissions via the Team Settings page. Teams are billed for all member usage and are currently available to Enterprise customers.
